Why are IT controls important?

We’ve all seen the headlines about major data breaches—and most of us field phishing emails or suspicious calls on a regular basis. In today’s digital world, threats to financial and operational data are constant. That’s why strong IT controls are essential—they help protect against cyberattacks, ensure data integrity, and support accurate financial reporting. Whether you’re preparing for an audit or focusing on day-to-day operations, a secure IT environment is a vital part of your overall internal control framework.

1. Who has access to what?

Too much access = too much risk. Unrestricted access to sensitive data can lead to breaches or financial errors.

Tips:

  • Implement role-based access controls
  • Review user access rights quarterly
  • Immediately revoke access for departing employees
  • Change access for employee position changes

2. Lack of change Management Controls

Untracked system changes = hidden risk. Without a formal process, unauthorized or untested updates can cause data errors or audit issues

Tips:

  • Establish a formal change management policy
  • Require documentation and approval of all significant IT system changes

3. No Segregation of Duties in IT Roles

One person doing it all = red flag. When development, deployment, and monitoring are handled by the same person, fraud and errors are harder to detect.

Tips:

  • Separate duties between development, testing, and deployment when possible
  • Use audit logs and system alerts to monitor changes

4. No Audit Logs or Monitoring

No logs = no visibility. If something goes wrong, can you trace it?

Tips:

  • Ensure your accounting system has audit logging enabled if possible
  • Periodically review logs for anomalies or unauthorized access
  • Retain logs for at least 12-18 months
  • Implement an EDR solution such as CrowdStrike or Huntress.

5. Weak Backup and Recovery Practices

Lost data = lost time and money. Recovery delays can be more costly than the outage itself.

Tips:

  • Schedule regular, automated backups
  • Test your disaster recovery plan at least annually
  • Keep backups both onsite and offsite or in the cloud and also have immutable backups

As technology continues to evolve, so do the risks to your financial data. Taking a proactive approach to IT controls not only strengthens your internal processes but also supports accurate financial reporting and smoother audits.
